Daily driver audit for the initial stages of implementation

Purpose & Scope

This procedure is designed for the initial stages of the LoadTrek.net on-board implementation at the facility. Dispatchers or driver managers should perform this operation daily to validate how drivers comply with established procedures, and that core data is collected. The daily audit will reveal inconsistencies in driver's operating procedures identifying areas for focused training of those drivers.

Procedure

  1. Validate executed routes

    1. Open Routes

    2. Select the appropriate driver group and date

    3. Confirm all drivers have downloaded routes for the date. Drivers with a 'Cab-Over' truck icon have downloaded routes. Note the drivers who have not downloaded routes to establish reasons.

    4. Open each driver to confirm that all stop have been completed. Stops with checkered flags have been completed. Note the drivers with incomplete stops, ensure that they are no longer en route.

    5. Validate arrival and departure times. Actual arrival and departure times should be approximately close. In case of large discrepancy note the driver to establish reasons

  2. Validate driver DOT logs

    1. Open Edit -> DOT Info

    2. Select Options to make sure the correct driver group is selected

    3. Click on each driver to ensure that DOT Log is present. Note drivers without a log to establish reasons.

    4. While on a driver's log, confirm that the log on and log off times match expected values

    5. Confirm that drivers have logged off at the end of the day, if they have not log them off by creating the Off Duty period at the appropriate time.

  3. Validate Driver Payroll

    1. Open Edit -> Time Sheets

    2. Ensure that the correct date range is selected

    3. Click on individual drivers to confirm there is payroll record

    4. Validate that actual hours/ miles match expectations and reflect benchmarks. In case of discrepancies note the driver to establish reasons, or follow the process to correct driver payroll.

  4. Validate next days dispatch

    1. Open Routes

    2. Select the appropriate driver group and date

    3. Ensure that all drivers scheduled for a tour of duty have a route assigned. Drivers in light gray font do not have routes.

    4. Open individual drivers and validate the correct trip assignment.

Additional Comments

It is not required to complete the process in the order listed, but it is important to complete all steps of the validation process.
