Creating / Adding a Customer

Purpose & Scope

Users will follow the instructions below to add a customer to the database. Note: The word 'customer' denotes the entity that will be billed for the load / job.

Procedure

  1. Using the toolbar along the top of the window, click on the small down arrow next to the icon labeled 'Setup'. This will display a list of areas into which we can enter or edit information. Next, move your pointer over the word 'Customers' to reveal another smaller list. Now, move your mouse pointer over the words 'Customer Information' and click the left mouse button. This will open a window titled 'Customers Setup'

  2. The 'Customers Setup' window displays a listing of all the current customers on the left side and all the relevant data of a specific customer on the right side. To add a new customer, click on the button labeled 'Add New' located in the upper middle portion of the window. This action will clear the right side of the window and place a blinking cursor in the field labeled 'Customer ID'

  3. Enter in the specific customer ID or click on the button labeled 'Next ID'. Note: the customer ID must be numeric and unique. The LoadTrek software will not recognize two customers with the same ID. It is highly recommended to use the 'Next ID' button to allow the software to generate a unique customer ID.

  4. Continue entering the relevant customer information using the 'Tab' key to advance to the next field. When entering information in the fields with a pull down menu (blue down arrow), users can click on the desired entry from the menu.

  5. After completing all the relevant fields, click on the button labeled 'Add New' to enter another customer or click on the button labeled 'Close Form' to exit the Customers Setup window.

  6. You will be prompted by the message 'Would you like to create a matching location for this customer?' If you answer 'Yes', the system will use the information you've entered to create a location of the same name. If you answer 'No' the message will clear. Note: It is often only useful to create matching locations for customers if the location will be used for pickups and/or deliveries.

  7. You have now succesfully entered a customer into the database and may repeat the process or move to another area of the software.
